Bookkeeping & Advisory Guide for Small Businesses

The difference between a one-time cleanup, ongoing monthly bookkeeping, and a budget build, and how to know which one you actually need.

"Bookkeeping" gets used as a catch-all term for a handful of genuinely different services. Getting the scope right matters, since paying for ongoing monthly bookkeeping when what you actually need is a one-time historical cleanup (or the reverse) wastes money either way.

The Three Services, and What Each One Solves

Books Cleanup (billed hourly)

For businesses whose books have fallen behind, whether that's a few months of unreconciled transactions or years of inconsistent categorization. This is a one-time, project-based engagement that brings your historical books current and accurate, with no ongoing retainer or minimum spend.

Monthly Bookkeeping (flat monthly rate)

Ongoing, recurring bookkeeping: transaction categorization, account reconciliation, and monthly financial statements, done consistently so your books never fall behind in the first place. This is the right fit once your books are already clean and you just need them maintained.

Budget Builder (billed hourly)

A one-time project to build a real budget, cash flow projection, or financial model, typically for planning purposes: a fundraise, a major hire, a new product line, or simply getting ahead of the next 12 months instead of reacting to them.

How to Know Which One You Need

  • If you're not sure your last few months of transactions are correctly recorded and reconciled, start with Books Cleanup.
  • If your books are already accurate but nobody's maintaining them consistently going forward, you want Monthly Bookkeeping.
  • If your books are fine but you have no forward-looking plan, that's a Budget Builder project.
  • If you're not sure any of these describe your situation accurately, our Financial Audit & Assessment will tell you exactly where things stand before you spend money on the wrong service.

What "Clean Books" Actually Means

This phrase gets thrown around without much precision, so it's worth defining. Clean books mean, at minimum:

  • Every bank and credit card account is reconciled to its actual statement, not just approximately close.
  • Transactions are categorized consistently, using the same logic month over month, not whatever seemed reasonable at the time.
  • Business and personal expenses are fully separated, with no mixing.
  • Your chart of accounts actually reflects how your business operates, rather than a generic default template nobody customized.
  • Financial statements can be produced on demand, not reconstructed from scratch when someone asks for them.

If several of those don't sound true for your business right now, that's a normal starting point, not a red flag. It's exactly what Books Cleanup exists to fix.

Signs Your Books Need a Cleanup

  • You can't say with confidence what your actual profit was last month.
  • Reconciliations have been skipped for more than a month or two.
  • You're using a spreadsheet, or several disconnected ones, instead of accounting software.
  • Tax season is stressful because your books aren't ready when your accountant needs them.
  • You've had turnover in whoever was handling bookkeeping, and nobody's sure what state things were left in.

When Bookkeeping Alone Isn't Enough

Bookkeeping and budgeting answer "what happened" and "what's the plan," but neither one gives you an ongoing strategic read on the business or someone available when a real decision needs to be made quickly. If that's what you're actually looking for, that's the scope of Fractional CFO services instead, which typically includes ongoing bookkeeping oversight as part of the engagement.
